Administrative Assistant: Salary Range: $31,144- $34,032/Annually

JOB PURPOSEProvides clerical and administrative support services to staff and individuals. Participates in the development of unit policies and procedures ensuring compliance with all other applicable standards.  Assists Directors and other members of leadership within the Center to ensure that the unit operates efficiently.

EDUCATION AND EXPERIENCE REQUIRED:  High School Diploma or GED. Requires at least three years of experience in positions requiring administrative support work including customer service experience, the operation of computers including database management and Office products such as excel, word and access. Prefer experience in the use of scanning equipment. Three (3) years of college including coursework in computer or business information systems may substitute for experience.

KNOWLEDGE, SKILLS & ABILITIES:

  • Good spelling and grammar skills.
  • Ability to write memos, letters, various complex reports and miscellaneous other documents with acceptable spelling and grammar.
  • Skilled in the use of technology with Microsoft Office and all Google applications.

  • May be required to interact with other consumers, referral sources, outside agencies, and family members to determine needs and actions to be taken.
  • Current State of Texas Driver License or if you live in another state, must be currently licensed in that state.
  • Liability insurance required if employee will operate personal vehicle on Center property or for Center business.  Must be insurable by Center's liability carrier if employee operates a Center vehicle or drives personal car on Center business.
  • Must complete all training requirements in month in which they are due.  
  • Availability of a personal vehicle for business use may be required.
  • Work will take place within office setting.
  • Must submit to and pass a pre-employment drug test
  • Must successfully pass all background screens as required by the state
  • May work flexible hours, including evenings and weekends. 
  • Adhere to professional dress and appearance standards consistent with the position and daily workplace needs.

Essential Tasks & Standards

  1. Ensures the efficient operation of the Units.
  2. Performs complex data entry and analysis.
  3. Assists Director and other supervisory staff as needed.
  4. Communicates effectively with individuals, family members, referral agencies, and the general public.
  5. May review and remove unnecessary documents from closed charts and scan large volume chart documents into Laserfiche software system.
  6. Provides professional customer service.
  7. May serve as unit timekeeper which includes assisting all staff with time clock training, modifications and corrections.
  8. May assist leadership with hiring and onboarding process and/or handling other HR documentation.
  9. May verify insurance and obtain pre-certification documentation for all individuals served in the unit.
  10. Conducts all aspects of employment in accordance with Center's Compliance Program.
